Anticipation will cooperate with members of the press (regardless of the medium the reporter represents) who are covering the convention before, during, and after the event. This cooperation may extend to issuing complimentary admissions to selected persons and to issuing press credentials to selected members of the convention. Such cooperation is intended to enhance the image of this convention specifically and of Worldcons, science fiction conventions, and the genre of SF and fantasy in general.

Distinction between Press Passes and Press Credentials

A Press Pass is a complimentary admission to the convention that includes the right to attend the convention (possibly for a limited time) with an endorsement to the person’s badge indicating that the person is a member of the press covering the convention. A Press Pass does not include any WSFS membership rights. Anyone who qualifies for a Press Pass automatically gets Press Credentials.

Press Credentials are a badge endorsement which indicates that the person is a member of the press covering the convention. It is possible to have Press Credentials without a Press Pass. We expect that some Attending members will qualify for Press Credentials.

Anticipation reserves the right to deny Press Passes and Press Credentials to individuals or media organizations as it sees fit.

Distinction between Working Press and SF/F Industry Press and Fandom

Working Press includes those people employed by recognized media outlets such as television and radio stations, newspapers, and other forms of news coverage, who are on assignment from those outlets and who would not otherwise be attending the convention if their jobs did not require it. Working Press may include reporters and editors for non-fannish news web sites, but they do not include technical staff or others who are not journalists. Working Press are entitled to appropriate complimentary press passes and credentials.

SF/F Industry Press and fannish news sources such as fanzines and web sites are not Working Press for the purposes of this policy and are expected to purchase a membership; they may also qualify for press credentials.

Anticipation believes that issuing press passes to people who are attending in their personal capacity is unacceptable. Worldcon belongs to all of fandom and all members of our community — fans, pros, staff, and program participants (save only our guests of honour) — pay for their memberships. Someone who is a member of the convention staff or who has accepted an invitation to be a program participant is presumed to be attending the convention primarily in their personal capacity, not as a member of the Working Press.

Press Release #8

Press Release #8, June 2008
Anticipation Announces Competition to Design the 2009 Hugo Award Base.

FOR IMMEDIATE RELEASE

The World Science Fiction Convention has presented the Hugo Awards for achievement in science fiction for 55 years. They are named after author and editor Hugo Gernsback. A rocket has always been the central element of the trophy, and its manufacture has been standardized over the past several decades. The base design changes yearly, often reflecting the country, state, or province in which the Convention takes place. Anticipation, the 67th World Science Fiction Convention, will be held at the Palais des congres de Montreal from August 6th – 10th, 2009, with guests of Honour Neil Gaiman, Elisabeth Vonarburg, Ralph Bakshi, Taral Wayne, David Hartwell, and Tom Doherty. Julie Czerneda is Master of Ceremonies. The Worldcon committee is now soliciting proposals for the 2009 Hugo Award Base design in an open competition.
Design of the Hugo Award Base
The winning proposal will conform to certain general and technical specifications. Those are:
• Bases may be made of wood, metal, lucite, or any other material which has a fixed form. Materials that are fragile or change form with age or extremes of temperature are not suitable.
• Bases must be designed in such a way that the silver Hugo rocket is an integral part of the design. Rockets for the bases will be supplied.
• Rockets will be bolted to the bases from below the tailfins and must be able to stand on a flat surface. Hanging designs are not acceptable.
• Specifications on the Hugo rocket are:

English
13″ tall
2″ across from fin-tip to fin-tip
weight 3 lb. 2 oz.
bolt 5/16–18 machine screw thread

Metric
33.02 cm tall
5.08 cm across from fin-tip to fin-tip
weight 1.42 kg
bolt 5/16–18 machine screw

• Space must be left for a plaque or plaques indicating the convention, winner, and category of award won in an easily readable 12 pt font.
• The winning design should have a theme appropriate to Canada and Quebec.
• It should be kept in mind that designs will be traveling home in people’s luggage. Fragile parts, fiddly bits, things that fall off, and anything that would make airport security too nervous is strongly discouraged. Designs shaped like sub-machine guns, for example, are right out. Sharp pointy things are also a bad idea.
How to enter the competition
Entry in the competition is open to all. Design proposals must be submitted by midnight (EST) October 31st, 2008, and all submissions should include:
• Drawings, sketches, and/or a fabricated sample of the proposed base unit.
• Cost estimate per base, and estimated total cost for the fabrication and shipping of 25 base units.
• Lead time is needed for fabrication. The contest winner will be announced in January 2009. Delivery of at least 25 bases will be expected by 15 April 2009.
• Your ability to either craft the bases or arrange for the work to be done.
As a guideline, bases should cost no more than $150 each or less to fabricate. Photos of past Hugo awards can be viewed at http://www.thehugoawards.org/?page_id=10 To enter the competition, proposals should be submitted either electronically or via postal mail. Do not forget to include your name and contact information. The winning designer will also receive a full 5-day membership to Anticipation and will introduce their base design at the Hugo ceremony. Competition entries, regrettably, cannot be returned. The winning entry will not be unveiled until the Hugo Ceremony. Strict confidentiality will be expected of the winner as to the specifics of the design until the Hugo Ceremony at Anticipation. Electronic submission. Please email proposals to hugodesign@anticipationsf.ca. Include the information above and a JPG, TIFF or GIF image of your design. Postal mail submission. Please send the information requested above along with a sketch/drawing/sample base (or a disk or CD containing your sketch/drawing). The physical address is:

Press Release #4, May 8th 2008
Information on payment plan for supporting members

FOR IMMEDIATE RELEASE

Our payment plan is a way to spread out the cost of your membership over time while locking it in at a low early registration rate.

STEP 1. Buy a Supporting Membership. If you voted in site selection for the 2007 Worldcon, you already have a Supporting Membership. While your Supporting Membership fee is not refundable, the membership may be transferred; if you do so, you will need to contact us with the name and address of the person you are transferring the membership to so that we may update our records.

STEP 2. Inform us (by email, snail-mail, or at a convention) that you wish to convert your Supporting Membership to an Attending Membership using our payment plan.

STEP 3. After your conversion has been processed, we will contact you to confirm your registration and inform of you of the deadline for the quarterly payments. We will also let you know what amount you still need to pay to complete your upgrade to an Attending Membership.

STEP 4. Send us a payment of no less than 10$ once every 3 months. More frequent payments are welcome. Failure to comply with the payment schedule will result in us canceling your payment plan. If your plan is cancelled, we will refund your payments (although not the initial cost of your Supporting Membership, which is nonrefundable). Your plan will also be cancelled if a cheque or credit-card payment is returned.

HOW TO PAY
Do not send cash in the mail. We will accept predated cheques or permission to charge your credit card quarterly. If you would prefer not to use your checking account or credit card, you can send an international postal order (if mailing from outside of Canada), or (within Canada) a Canadian postal order.

DEADLINES
The last payment (for a total of the complete Attending Membership price) must be postmarked or processed no later than Tuesday, March 31st, 2009.

If your last payment is not postmarked (or processed) by Tuesday, March 31st, 2009, your payment plan purchase will go towards paying the total cost of Attending Membership at our posted at-door rate. If this happens, we will contact you with the new cost of your Attending Membership and allow you to either cancel your payment plan or pay the difference at the door.

VOLUNTARY CANCELLATION
You can voluntarily cancel your installment plan at any time by contacting us by email or snail-mail. If you cancel your payment plan, Anticipation will refund the amount you paid towards the conversion; Supporting Memberships are not refundable. When an installment plan is cancelled, you have forfeited your right to convert at the locked-in price. A cancelled plan may not be resumed, and you may not start a new installment plan.

TRANSFERS
If you are using an installment plan to convert to an Attending Membership, you can still transfer your membership (including all paid installments) to another individual at any time. The person you transfer it to will be responsible for making the remaining payments as outlined above. If a plan is cancelled after you have made the transfer, any refund due will be sent to the new owner of the membership.

QUARTERLY PAYMENT DATES
June 30, 2008
Sept. 30, 2008
December 31, 2008
March 31, 2009

The 67th World Science Fiction Convention, known as Anticipation, will take place in Montréal, Québec, Canada from Thursday, August 6th through Monday, August 10th, 2009. More information about Anticipation, including current membership rates, is available on our web site (http://www.anticipationsf.ca); you can also write to us for more information.
